The People Process & Workday Support Specialist plays a critical role in driving continuous improvement within People Shared Services (PSS) operations. This role supports Workday adoption, operational efficiency, minor automation initiatives, and ensures data integrity across processes.
The Specialist is expected to proactively identify operational gaps, gather requirements for improvements, and collaborate with key stakeholders to implement sustainable solutions. This role demands a strong growth mindset, independent problem-solving abilities, excellent prioritization skills, and the ability to manage multiple initiatives simultaneously while knowing when to escalate appropriately.
Let’s talk about the role:
Workday Process Support
- Act as the first-level Workday system support for the PSS team (e.g., troubleshooting process navigation, business process stuck points).
- Execute and manage EIB (Enterprise Interface Builder) loads for mass data transactions (e.g., spot bonuses, job changes, bulk updates).
- Identify recurring Workday adoption challenges and recommend solutions to improve system usability and efficiency.
Continuous Improvement & Business Analysis
- Analyse existing operational workflows to identify inefficiencies or process gaps.
- Gather requirements through discussions with Team Leaders, SMEs, and Specialists regarding operational challenges or system barriers.
- Propose small-to-medium process improvements and support the design of future-state workflows.
- Collaborate with Quality & Training SME and COEs to drive adoption of improvements, including process documentation.
- Drive critical continuous improvement projects simultaneously to achieve operational efficiency and global standardization.
- Track, monitor and report continuous improvement initiatives using basic project management practices (e.g., action logs, milestone tracking).
Data Quality and Compliance
- Perform regular audits of case management activities and Workday transactions to ensure high data integrity standards.
- Flag systemic data issues early and work with relevant partners (e.g., Rewards, Payroll, People Systems) for corrective actions.
- Work with Quality, Training Process SME to identify training needs and conduct relevant training on timely manner
- Support reporting needs related to continuous improvement initiatives, providing data-driven insights and trend analysis.
Collaboration and Stakeholder Management
- Engage independently with internal stakeholders (e.g., Team Leaders, SMEs, COEs) to validate improvement ideas and deliver solutions.
- Know when to escalate more complex system issues to People Systems team and Regional teams appropriately.
- Maintain strong communication and relationship management across multiple stakeholders while balancing competing priorities.

- 2–3 years of experience in People Operations, HR Shared Services, HR Technology, or equivalent process-focused roles.
- Strong user-level knowledge of Workday, with an understanding of business processes, navigation, and basic troubleshooting.
- Experience with EIB load management and bulk data transactions (preferred).
- Demonstrated success leading or contributing significantly to process improvement initiatives.
- High attention to detail, data accuracy, and operational discipline.
- Strong written communication, documentation, and reporting skills.
- Proven ability to manage multiple projects, tasks, and priorities independently and effectively.
- Collaborative mindset with strong stakeholder engagement and relationship management skills.
- Exposure to basic automation (e.g., Excel macros, workflow optimization tools) is an advantage.
